A collection address is ready when the booked vehicle can reach the loading point, the goods are prepared and the agreed people and equipment are available. The address should describe the physical warehouse or loading site rather than merely the company’s registered office.

Check vehicle access

Tell the manager about narrow roads, height barriers, weight restrictions, security gates and limited turning space. Provide the correct entry point if the site has several gates. Photographs or a simple access description can help explain unusual conditions.

Do not leave the driver to discover that the building number leads to an office while the warehouse entrance is on another street.

Make the loading plan practical

Prepare the cargo and paperwork

Finish packing before the window begins. Check unit count, labels, dimensions and weight against the booking. Keep required documents and collection references available at the loading point.

Give useful contact details

Nominate someone who can answer calls and authorise release of the goods. Include opening hours, breaks and the last vehicle entry time. Notify your manager of any change before the collection day.

If the goods cannot be moved to the agreed loading point, say so in advance. Extra carrying or internal movement is a separate requirement. See the collection process and driver assistance.
