Freight documents connect the commercial order with the goods being collected and delivered. This section explains the purpose of the main records and how to keep parties, quantities, references and shipment descriptions consistent.

Give each document its proper role

A packing list identifies physical contents. A commercial invoice describes the goods transaction or supports relevant value information. A transport document records the carriage, while proof of delivery records the handover. One document should not automatically be treated as a substitute for another.

Reconcile before collection

Check names, addresses, unit counts, gross weights and references across the booking and supporting records. Explain when the buyer, shipper, consignee and billed customer differ.

Movements requiring customs procedures need additional information appropriate to the route and purpose. Use the guides below for document definitions, then review the customs section where relevant to your shipment.
