Keep the report factual
Separate observations from assumptions. Describe what was seen, when it was discovered and any action already taken. If a repair, disposal or urgent movement was necessary, explain why and retain the associated records.
Preserve the goods and packaging for possible inspection. Ask for instructions before arranging a return or repair that could remove evidence, unless safety or loss prevention requires immediate action.
