Record visible freight damage on the delivery receipt at handover using a specific, factual description. Identify the affected handling unit and what can be observed. Retain the record and notify Cargo Euro Hub promptly with photographs and the shipment reference.
Write an observable description
For example: “Pallet 2 of 4: lower right corner of crate broken; outer panel punctured; contents not yet inspected.” This records a location and condition without guessing the cause or the extent of internal damage.
If a unit is missing, state the expected and received counts. If several units are affected, identify them separately where possible.
Avoid unclear wording
A generic phrase such as “subject to inspection” does not describe a visible problem. Likewise, a statement that the driver caused the damage should not replace factual observations when you did not witness the event.
Build a useful photo record
- Overall view of the delivered unit.
- Close views of the damaged area.
- Packaging, pallet base and securing materials.
- Shipment label or identifying mark.
- Contents, once safely inspected.
Keep the evidence connected
Make sure the photographs and receipt relate to the same booking and delivery date. Keep the original files where possible. If remarks cannot be entered on an electronic receipt, contact the manager immediately and send a written account through the agreed channel.
