Create a transfer register
Give every pallet, crate or other unit an identifier. Record contents, quantities, packed dimensions and gross weight. Distinguish usable stock, returns, damaged items and equipment rather than placing them under one generic description.
Plan the sequence
Identify stock needed first at the destination and any units that must travel together. Agree loading and receiving windows with both sites. If several vehicles are required, allocate units clearly so receiving staff can reconcile each delivery.
Check destination readiness
Confirm unloading equipment, dock availability, storage space and staff. A new warehouse may have an address before it has a workable receiving operation. Tell the manager about temporary access restrictions or incomplete site facilities.
A stock transfer can still need customs records
Moving goods between your own premises does not automatically remove customs requirements when crossing a relevant border. The responsible representative needs the correct purpose, value information, classification and company details even where there is no new sale.
Close the transfer accurately
Keep collection and delivery records against the unit register. Investigate shortages or damage using the unit identifiers, photographs and transport references.
