Exhibition freight requires coordination with the venue’s operating rules as well as the road transport. Provide the event, hall, stand, delivery window and receiving instructions when requesting a Cargo Euro Hub quotation. A venue address alone is not enough to plan a successful handover.

Confirm the event logistics

  • Approved arrival date and time slot.
  • Vehicle access, registration and waiting arrangements.
  • On-site contact and stand or hall reference.
  • Who provides unloading and movement inside the venue.
  • Where packaging will be stored for the return.

Some venues use an appointed handling contractor. Establish which tasks that contractor controls and which charges or bookings remain outside the road freight offer.

Prepare for both journeys

Use packaging suitable for reuse if the same goods will return. Label all handling units and record their contents. Plan the return collection window around dismantling and venue access rather than assuming the outbound arrangement automatically covers the return.

Check customs for temporary movements

For an event across a customs border, discuss the appropriate temporary admission or other procedure with the responsible customs representative. Do not describe display equipment as a permanent sale if that is not the transaction. Record serial numbers and other identifiers where needed to establish identity on return.

Distinguish critical dates

Explain the latest usable delivery time and the consequences of missing it. The manager can assess an appropriate service, but venue access and customs readiness must also be coordinated.
